  • Overview

    Perform clerical and administrative functions for the Human Resources Department in the Seattle office. Assignments for this job change frequently based on department priorities.

    Responsibilities

    • Assist Human Resources Specialists with new hire process including but not limited to: creating new hire/medical files, reporting employees to the state, and act as main administrator of E-Verify
    • Verify mariner credentials, enter licenses, certifications, tests and trainings into internal systems
    • Track annual testing, pre-employment testing, fit for duty, and drug testing results. Contact clinics to request missing items
    • Schedule all annual tests at a contracted clinic of the employee’s choice
    • Create order forms for any annual testing, pre-employment testing, fit for duty, and drug testing
    • Responsible for reconciling all invoices related to employer paid testing at clinics throughout the country
    • Track and develop adhoc reports
    • Create and distribute annual testing letters and delinquent list
    • File Human Resources documents in an accurate and timely manner
    • Create seatime letters, random drug testing letters, and verification of employment letters as requested
    • Performs other related duties as required

    Qualifications

    • High School diploma or GED
    • A minimum of two years’ experience in an office environment, HR preferred.
    • Must be able to multi-task and prioritize in a fast paced, high volume setting and have excellent attention to detail
    • Exceptional verbal, written and interpersonal communication skills are a must along with positive, can-do attitude
    • Ability to work with all levels of employees using courtesy, tact, and good judgment
    • Maintain the confidentiality of all sensitive communications
    • Ability to accurately and calmly handle multiple priorities with frequent changes or interruptions.
    • Ability to understand and execute complex oral and written instructions
    • Proficient computer skills using Microsoft Word, Excel, PowerPoint, and Outlook
    • Experience using ADP, Visio and SharePoint preferred.

    Expected Hours of Work

    Normal office hours are 8:00 a.m. to 5:00 p.m. Monday through Friday.
